How to Convert a PDF Table to Excel Without Retyping

A table inside a PDF may look like a spreadsheet, but it is usually stored as positioned text rather than editable cells. Copying and pasting that table into Excel can place every value in one column, break rows, or remove leading zeros. A PDF to Excel converter uses the position of the text to rebuild a spreadsheet grid that you can check before downloading.

This guide shows how to convert a selectable-text PDF table with our PDF to Excel converter. The review step matters: a PDF describes how a page looks, while Excel needs explicit rows and columns.

Check whether your PDF is ready for conversion

Open the PDF and try to select a word with your cursor. If you can highlight individual text, the document probably contains selectable text and is suitable for the current converter. If the whole page behaves like one photograph, it is an image-only or scanned PDF and needs OCR before its table can be reconstructed.

Clear tables produce better results when they have:

  • Consistent horizontal rows
  • Visible spacing between columns
  • Upright text
  • Simple headers
  • Few merged cells or nested tables

A bank statement, inventory list, price table or exported report can still require corrections. Always compare important amounts and identifiers with the source PDF.

How to convert a PDF table to Excel

1. Upload the original digital PDF

Go to the PDF to Excel tool and choose one PDF. Use the original downloaded document when possible. A screenshot or scanned printout removes the selectable text that makes this conversion reliable.

2. Extract the table

Select Extract table. The converter reads the text and its location on each page, groups nearby items into rows, and uses repeated horizontal positions to suggest columns. It does not use Google Vision for digital PDFs.

3. Review the editable grid

Check the header first, then work down each column. You can edit any cell, add a missing row, add a column, or remove a row that contains an unrelated page heading. The values shown in this grid are the values that will be exported.

4. Choose whether the first row contains headers

Leave Format first row as headers selected when the first row contains labels such as SKU, Item and Price. Clear it when the PDF begins directly with data. In the XLSX file, header formatting makes the first row easier to scan and freezes it while you move down the worksheet.

5. Download XLSX or CSV

Choose XLSX for a formatted worksheet with adjusted column widths. Choose CSV when you need a plain table for an accounting system, database or application that imports comma-separated values.

PDF-to-Excel example

Imagine that a supplier PDF contains this table:

SKUItemQuantityPrice
00123Ceramic mug128.50
00124Travel bottle614.00

The converter should create four editable columns. Before downloading, confirm that 00123 still contains its leading zeros, the quantity did not move into the price column, and decimal values match the PDF. The XLSX exporter stores extracted cells as text to preserve values such as SKUs, account numbers and postal codes.

XLSX or CSV: which format should you choose?

Choose XLSX whenChoose CSV when
You want an Excel worksheetYou need a simple data exchange file
Header styling and column widths helpFormatting is unnecessary
You want to continue editing in Excel or Google SheetsYou plan to import the data into another system

CSV does not save colors, formulas, multiple sheets or column widths. The converter also protects formula-like CSV values so uploaded text is not treated as a spreadsheet command when the file is opened.

What to review before using the spreadsheet

  • Leading zeros: Check SKUs, invoice numbers, account numbers and postal codes.
  • Decimal separators: Confirm whether the PDF uses a period or comma for decimals.
  • Negative values: Make sure a minus sign remains attached to the correct amount.
  • Dates: Review ambiguous values such as 03/04/2026 before sorting or calculating.
  • Wrapped descriptions: A long product name may occupy a second visual line in the PDF.
  • Repeated page headers: Multi-page reports can repeat column labels and page notes.

After opening the downloaded file, decide which columns should become numbers or dates. Keeping the first export as text prevents Excel from silently changing identifiers during conversion.

Why scanned PDFs are different

A digital PDF contains text objects that can be selected. A scanned PDF contains page images. The current PDF to Excel tool reads selectable text and its position with PDF.js; it does not run OCR on scanned pages. If you cannot select text, the tool will explain that the document is scanned rather than inventing a spreadsheet.

If you only need the words from a compatible document, use the PDF to Text converter. Scanned-table OCR will be a separate workflow because every page must first be rendered as an image, recognized, and then reconstructed into cells.

When PDF to Excel is useful

This workflow can reduce retyping for inventory reports, price lists, account statements, survey tables, schedules and supplier documents. It works best when the source has a clear table and you have permission to process its contents.

Start with the original document, review the suggested cells, and keep the PDF beside the spreadsheet during your final check. When you are ready, convert your PDF table to Excel.

PDF Table to Excel Questions

Answers about supported PDFs, spreadsheet formats and reviewing extracted tables.

Yes. Free use currently includes up to three conversions per day with a 4 MB file limit. The tool shows the applicable limit beside the upload area.
The current version supports digital PDFs with selectable text. It does not run OCR on image-only scanned pages.
No. A PDF normally contains displayed values rather than the original spreadsheet formulas. The exported file contains the reviewed cell values.
PDFs store positioned page content rather than spreadsheet cells. Wrapped text, merged cells and repeated headers can cause values to enter the wrong row or column.
Choose XLSX for a formatted worksheet and CSV for a plain table that can be imported into many spreadsheet, accounting and database tools.

Final Verdict

Use PDF to Excel when a digital PDF contains a clear table but you need editable rows and columns. Upload the original file, correct the reconstructed grid, and download XLSX for a formatted worksheet or CSV for data import. Keep the source PDF open while checking important identifiers, dates and amounts.
